SUMMARY OF THE JOB:
The Academic Administrative Assistant supports the Department Chairs (Nursing, Business, IT, and General Studies, and Graduate Studies), and the Vice President of Academic Affairs. This role is directly supporting the day to day administrative duties that are required by each Department Chair and the Vice President. The Academic Administrative Assistant is responsible for providing administrative and clerical services in order to ensure effective and efficient operations.
ESSENTIAL FUNCTIONS:
- Supports and performs administrative duties for the department Chairs to include
activities related to student clinical learning experiences, i.e. collecting required documents for clinical sites.
- Records and manages documents related to program and curriculum activities/reports.
- Processes student academic, conduct and attendance documentation including tracking graduates and maintaining NCLEX status and placement records.
- Ensures classroom schedules are posted at each classroom before the start of each term
- Coordinates semester activities – schedules, book orders, supply orders
- Maintains student records management:
- Assist with collecting, reviewing & recording student vaccine records
- Responsible for filing and maintaining student records
- Participate in and manages minutes for department meetings and PAC
- Other duties as assigned
PROFESSIONAL/PUBLIC ACTIVITES:
- Must participate in the Hallmark Character program.
KNOWLEDGE/ SKILLS/ABILITIES:
- Requires strong computer and Internet research skills, flexibility, excellent interpersonal skills, project coordination experience (preferred), and the ability to work well with all levels of internal management and staff, outside clients and vendors. Sensitivity to confidential matters may be required.
- Administrative, event planning, exam training/knowledge, skills and abilities as they apply to all work assignments
- Able to multi-task, work independently and efficiently to meet deadlines
- Able to promptly answer support related email, phone calls and other electronic communications
- Self-motivated, detail-oriented and organized
- Proficient in computer applications such as Microsoft Office Suite, and Web Browsers.
- Excellent communication (oral and written), interpersonal, organizational, and presentation skills.
QUALIFICATIONS AND EXPERIENCE:
- REQUIRED-
- High School Diploma/GED (Some college preferred)
- Proficient with Microsoft Office and other Web-Based programs
