Responsible for providing administrative support to Hallmark University’s School of Nursing, not limited to maintenance of email, calendar, coordinating the scheduling of appointments and meetings, and filing. Office duties include creating documents, data entry, mail, completing purchases orders, and other office or university functions as directed. Will be required to work closely with the Dean, school of nursing and faculty in a team approach. The administrative assistant is responsible for providing administrative and clerical services in order to ensure effective and efficient operations.


  • Performs administrative duties for the School of Nursing, which include managing calendars and email; making meeting/event arrangements; preparing reports and purchase orders, and customer relations.
  • Records and manages documents related to program and curriculum activities/reports
  • Scheduling of campus space for meetings and special events, as well as maintaining accurate information on Outlook Calendar.
  • Coordinates School of Nursing term activities – schedules, book orders, supply orders.
  • Provide excellent customer service to all departments/employees within the university, outside customers and prospective students, as well as current students.
  • Prepares and manages minutes for department meetings and Program Advisory Committee Meetings.
  • Responsible for event specific communication with external vendors/contractors with proper and timely coordination through university channels for approvals, adhering to established policies/procedures and approved budget constraints other duties as assigned


Must participate in the Hallmark Character program


  • Sensitivity to confidential matters is required.
  • Must be able to coordinate executive communications, including taking calls, managing the calendar, and responding to emails.
  • Must be self-motivated, professional, and capable of managing a workload and prioritizing tasks in a fast-paced university environment.
  • Must be organized and work well with little supervision.
  • Requires strong computer and internet research skills, flexibility, excellent interpersonal skills, and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors.
  • Able to multi-task, work independently and efficiently to meet deadlines
  • Able to promptly answer support related email, phone calls and other electronic communications.
  • Proficient in computer applications such as Microsoft Office Suite and various web browsers.
  • Maintain an organized filing system of paper and electronic documents.
  • Excellent communication (oral and written), interpersonal, organizational, and presentation skills.
  • Administrative, event planning, knowledge, skills, and abilities as they apply to work assignments.
  • Must have a clean driving record and current driver’s license.



  • Proven experience as an administrative assistant or other relevant administrative support experience.
  • Professionalism and confidentiality always required.
  • High School Diploma/GED (Some college preferred).
  • Proficient with Microsoft Office and other Web-Based programs.
  • Experience supporting professional level personnel.
