Position Title: University Registrar, Director
Department: Campus Administration
Location: Main Campus
Full/Part Time: Full Time
Organizational Relationships:
  • Reports to: Vice President of Student Support Services.
  • Supervises: Associate Registrar, Assistant Registrar, Registrar Office Assistant, Administrative Assistant(s) to the Office of the Registrar.
SUMMARY OF THE JOB:
The University Registrar, Director provides leadership in managing student records, overseeing all functions of the Office of the Registrar, and maintaining the integrity and security of student academic records. This role ensures compliance with federal, state, and institutional regulations, including FERPA, while managing the university’s student information system. The Director also oversees transfer credit evaluations, registration processes, degree audits, course scheduling, transcript requests, and student record security.
ESSENTIAL FUNCTIONS:
  • Oversee all functions of the Office of the Registrar, ensuring accuracy in data processing, error reports, and output reports.
  • Supervise and manage staff, including hiring, training, and performance evaluations.
  • Ensure compliance with FERPA and catalog requirements related to degree completion.
  • Serve as the primary liaison between the Office of the Registrar and external organizations (e.g., Parchment, National Student Loan Clearinghouse, Texas Higher Education Coordinating Board) and internal departments (e.g., Admissions, Academics, Financial Planning, Accounting, Marketing, IT).
  • Manage document intake, including imaging, indexing, and distribution for admissions and financial aid paperwork.
  • Oversee student record management for enrollment and academic programs.
  • Provide data and reports to university administration as needed.
  • Participate in strategic planning for registrar operations.
  • Stay current with regulations governing registrar functions through research and professional development.
  • Interpret and enforce university policies, federal and state regulations related to registrar processes.
  • Assist compliance officers and administration during internal and external audits.
  • Provide guidance on processing, reviewing, and maintaining student documentation, including applications, transcripts, veteran forms, and degree verification.
  • Lead initiatives related to student records, registration, degree audits, transfer credit evaluation, and graduation processing.
  • Oversee communication, publications, and events related to registrar functions, ensuring timely distribution of information to students, faculty, and staff.
  • Develop and maintain policy and procedures manuals for the Office of the Registrar.
  • Represent the university at state and regional meetings/conferences as needed.
  • Serve on university committees and task forces as required.
  • Address and resolve complex registrar-related inquiries.
  • Provide advanced training and mentorship for staff.
  • Perform other duties as assigned.

QUALIFICATIONS AND EXPERIENCE:
Required:
  • Bachelor’s degree from an accredited institution.
  • At least three years of progressively responsible experience in enrollment management, student services, or registrar functions, including supervisory and program oversight.
  • Experience with automated student information systems, class scheduling, registration, and data management.
  • Proficiency with Ellucian Colleague, Banner, or similar platforms.
Preferred:
  • Master’s degree from an accredited institution
